How do I book my room?
You must register first to book your room. Once registered, follow these instructions:
- Click Here to Register or Modify Your Registration
- On the confirmation page, click “Book Hotel”
- Follow the booking instructions
The deadline to book your room in our block is August 28, 2026.
- Attendees should book, modify, or cancel their hotel accommodations through their Registration (instead of contacting the hotel) before the deadline above. Starting August 29, 2026, any changes will need to be made directly with the hotel instead of via Registration.
Recommended Arrival & Departure Date
It is recommended that attendees arrive on Wednesday afternoon, September 30th – If you plan to participate in the Pre-conference events (Golf Scramble and Women’s Wellness), time to be announced.
We recommend checking in on Thursday, October 1st (Early Flight) – If you only wish to participate in the Afternoon Sessions.
Exhibitors are encouraged to arrive for setup on September 29th or 30th – Booth Setup will begin the afternoon of September 30th, time to be announced.
We recommend checking out on Sunday, October 4th . Standard hotel checkout time is 11:00 AM. Guests who wish to request a later checkout should speak with the Front Desk upon arrival; late checkout is subject to availability and may incur additional fees. The hotel also offers luggage storage services, allowing guests to securely store bags before check-in or after check-out.

Can I contact the hotel or change my reservation before the deadline?
No. Attendees should not contact the hotel until after August 28, 2026 After this date, changes must be made directly with the hotel starting August 29, 2026.
When should I arrive for the conference?
We recommend arriving on September 30th. Hotel standard check-in begins at 4:00 PM.
When should exhibitors arrive for setup?
Exhibitors may set up on September 29th or 30th – Booth Setup will begin the afternoon of September 30th, time to be announced.
When is the recommended checkout?
We recommend checking out on Sunday, October 4th . Hotel standard checkout is 11:00AM.
Can I request a late checkout?
Yes. Requests should be made at the Front Desk upon arrival. Late checkout is subject to availability and may incur additional fees.
Does the hotel offer luggage storage?
Yes. The Rancho Bernardo Inn provides luggage storage through their bell desk for guests arriving before check-in or departing after check-out. The staff will hold bags, typically at no extra charge, while you wait for your room or explore. Tipping the bell staff is customary.

Can I extend my trip outside of the conference dates?
Yes, a limited number of shoulder dates are available through our room block at the conference rate. Shoulder night room block rates are subject to availability and on a first come first served basis.
I didn't receive my registration confirmation email, what should I do?
To resend your confirmation email, please reach out via our contact page.
When will my card be charged for payment?
Most hotels do not charge a first night’s room and tax as a deposit. However, hotels will hold credit cards for guarantee, with the possibility of charging the first night’s room rate and tax as a deposit. The hotel will charge each guest the first night’s room rate and tax as a deposit as early as August 28, 2026. The remaining balance will be charged after your stay. When booking your hotel, check the hotel information for the hotel’s guarantee policy.
How do I pay for my room?
Through Passkey you will be able to reserve your room and enter in your credit card information. The hotel requires all guests to secure their room and incidentals with a credit card.
What is the events hotel cancellation policy?
Any reservation cancelled within 72 hours of arrival date will be charged one night’s room and tax by the hotel.
Can I keep my hotel reservation if I cancel my registration?
